Position Overview
The Project Coordinator – Systems Support will manage both software administration and project coordination, managing key platforms while ensuring their integration and optimization to meet business needs. This role also provides essential support across operational processes such as permitting, compliance, contractor management, and new market expansion. The coordinator will act as a liaison for permitting entities and regulatory agencies, ensuring compliance with industry standards and collaborating with teams to enhance processes and drive operational efficiency. This position will work out of our Coeur d’Alene, Idaho office and will report to the Director of Digital Transformation and Automation.
Position Summary/Responsibilities (including but not limited to)
Software Responsibilities
This position will manage the administration, optimization, and integration of our core software tools, Salesforce, Sitetracker, ZoomInfo, DocuSign and any future identified systems. This role will ensure these platforms meet business needs, drive user adoption, and enhance data governance. The coordinator will collaborate with cross-functional teams to ensure efficient software processes and provide user training, manage system configurations, and stay informed on new product features.
Key Responsibilities:
- User and System Management:
- Manage user access, roles, and permissions for each software platform.
- Serve as the system administrator, overseeing configurations, customizations, and ensuring the platforms align with business needs.
- Software Integration and Customization:
- Ensure seamless integration of software systems across the organization.
- Migrate processes from deprecated software products and ensure minimal disruption during transitions.
- Continuously assess software capabilities to maximize utilization.
- Data Management and Governance:
- Maintain data integrity and governance, collaborating with the Data Analyst to ensure accurate, reliable data across platforms.
- Enforce data management best practices for each software system.
- Training, Adoption, and User Engagement:
- Develop and lead training programs to educate users on software functionality and best practices.
- Stay informed on new product releases and software enhancements, ensuring teams are equipped with the latest tools.
- Drive software adoption efforts, working with stakeholders to encourage engagement and maximize utilization.
- Continuous Improvement:
- Gather and document user feedback to drive system improvements.
- Work with the Director of Digital Transformation and Automation to identify and implement improvements that enhance software performance and integration.
Project Responsibilities
The position will support operational functions related to permitting, compliance, insurance, and contractor management. This role will maintain relationships with permitting entities, ensuring the company stays informed on permit changes, costs, joint-use opportunities, and infrastructure projects. The coordinator will oversee administrative processes for notary services, bonds, insurance certificates, subcontractor onboarding, and licenses, ensuring compliance. Additionally, the role will assist in new market expansion efforts, collaborating with OSP Engineering and regulatory bodies.
Key Responsibilities:
Permitting and Regulatory Engagement:
- Build and maintain relationships with permitting agencies, municipalities, and utilities.
- Monitor changes in permitting requirements, costs, and joint-use opportunities.
- Identify infrastructure projects that could benefit the company and support market expansion.
Notary Services:
- Serve as an Idaho Notary for the CDA office and assist with company notary needs.
Bonds Management:
- POC for Surety, assist with bond applications, and maintain bond records.
- Distribute final bond documents as needed.
Certificates of Insurance (COI):
- Obtain, track, and distribute COIs in collaboration with the insurance provider.
Subcontractor Onboarding:
- Track subcontractor insurance requirements and maintain an updated tracker.
Franchise Agreements, Right-of-Way Agreements, and Permits:
- Assist in managing agreements related to right-of-way access and permitting.
Business and Contractor Licenses:
Process business and contractor license applications and renewals, maintaining an organized tracking system.
Experience/Education/Minimum Requirements
- Clean driving record required
- Full‐time salaried position, which may include working at nights and weekends
- Excellent written, oral, and interpersonal skills required
- Detail oriented and extremely organized and efficient
- Strong computer experience with spreadsheets, project management and scheduling tools, is required
Qualifications & Skills
- Administration Certificates in Salesforce, Sitetracker, DocuSign, ZoomInfo, or similar platforms preferred.
- Experience in software administration, project coordination, or a related field.
- Strong organizational and data management skills.
- Ability to collaborate across multiple teams and effectively communicate with internal and external stakeholders.
- Knowledge of permitting processes, regulatory compliance, and contractor management is a plus.
- Strong problem-solving skills and ability to streamline processes.

Additional information
Fatbeam requires a background check and the acceptance of a basic non-compete documents for all employees. The background check takes 3-5 days. This offer would be pending upon the results of the background check. We will also need to confirm that your driving record will not prohibit us from adding you to our insurance policy for company vehicles.
